All media access requests are handled at reception.
Reception can be found in Wyckham House Z 201 or by phone, 440-6401.

Media Access:
Students and members of the college, please use the Media Access form if you wish to film, take photographs or cover events in Wyckham House.

he official representatives of the Students’ Association are the members of the Executive Committee. These representatives have the authority to speak on behalf of the Students’ Association of Mount Royal College to on- and off-campus media in accordance with the Code of Conduct, SAMRC policies and the Bylaws.

Request to interview staff members:
If reporters wish to interview staff members of SAMRC, requests should be directed to the VP External, through Reception. Executive members are the official spokespeople for SAMRC. Staff have been consulted on this matter and want reporters to follow the above procedure.

Brand, Trademark and Logo Usage

If you wish to use any of SAMRC or its service areas’ logos or trademarks, permission must be obtained in advance. Usage for class assignments will normally be granted. SAMRC reserves the right to request a copy for corporate or archival use, in exchange for Brand, Trademark and Logo usage. 

Please be extremely clear about the intended use for the Brand, Trademark or Logo.

Response to Brand, Trademark and Logo request cannot be guaranteed in less than 48 hours.

Events  Coverage

If you wish to cover concerts, speakers, displays or other performances in the Liberty Lounge, or that are limited access or licensed shows, including those hosted by clubs and societies, please submit a media access form. 

Disclaimer:

SAMRC is not responsible for setting up interviews with artists, but will accommodate such requests in accordance with the record company’s wishes. Some performers refuse interviews, photographs, and filming of themselves and their events. It is SAMRC’s contractual obligation to ensure the performer’s demands are met.

SAMRC reserves the right to limit the number of journalists/ photographers/ videographers accessing an event.

Interview Requests

 

  • Interviews will be scheduled in 15 minute time slots according to the availability of the interviewees.

  • SAMRC reserves the right to decline or reschedule interviews, or to substitute interviewees.

  • Response to an interview request cannot be guaranteed in less than 48 hours.

Please let us know if more, or less, time is needed; if pictures will be taken; or if you require background information.

We ask that you provide the topic(s) of the interview in advance to ensure that you will be speaking with the appropriate executive, and that executives are well-prepared with background materials available.

In addition, topics are requested in advance in hopes of screening the number of requests for interviews on the same topic. If there is a significant number of requests for interviews on the same topic, reporters may be grouped into the same time slot, or executives may set up a press conference or release a statement.

Procedures

All media requests should be directed through the Receptionist to the Executive Committee in accordance with procedures established from time to time in the Media Access Plan.

Three forms have been designed to help reporters journalists get the information they need. Reporters are required to complete the appropriate form and submit it with their media request. (The three forms are available here as Appendices B, C and D).

Students’ Council: Students’ Council is a public forum and all reporters are permitted and encouraged to attend as observers. As an observer, reporters may report on the proceedings, but cannot participate in the proceedings unless the council gives express permission to do so. Questions may be asked to any member of the council after the meeting. In the event Students’ Council goes “in camera”, all observers will be asked to leave the room. At this time, reporters must take all recording devices with them. When the “in camera” discussion concludes, all observers will be invited back into council chambers.

Wyckham House Access: In the case of breaking news, or class projects, reporters may interview and film in certain areas of Wyckham House, provided these areas are those not behind closed doors. All offices and meeting rooms are private. In addition, The Liberty Lounge is considered private and no media activities may take place in The Liberty Lounge without approval, as per the Alberta Gaming and Liquor Control rules and regulations. All meetings, unless noted otherwise, are private. A request to a private meeting will be considered if a media access form is submitted at least 48 hours in advance.

General restrictions: Reporters are required by college regulation not to block fire exits, access ways, and walkways while reporting. If reporters block these areas or if the building is too busy, reporters may be asked to move or come back later.

Media passes: Reporters are required to carry approved media access forms with them while performing media activities. Reporters are required to produce the approved media access forms upon request. A sample of a Media Request Form is located in Appendix E.

Conduct: Members of the media are expected to follow ethical boundaries of conduct. Reporters are required to respect the rights of people being filmed, photographed, or recorded. Reporters are also required to ask the subject’s permission before starting any interviews. Internal or external media members who behave in an unethical way may be denied future access to Wyckham House and SAMRC events.
