1.0 Annual Reports
Annual Report season is upon us! I have attached the annual report in pdf and word form to this email for you. Please use whatever version you feel comfortable using. If you need more space please feel free to add extra pages. Please be as informative as possible, and if you have questions about the form please ask.
These reports are due Wednesday April 18, 2012. If they are not received by the end of the day on April 18th you will be unable to re-ratify your club next year.
2.0 Spring Cleaning – Club Lockers & Clubhouse
Spring is here and you know what that means…cleaning I will be cleaning the Clubhouse and the Club Lockers at the end of the semester. If you can please go through anything you are storing in the Clubhouse and let me know what you want to keep there for next year that would be greatly appreciated. Club Lockers will also need to be cleared out. If you want to keep anything over the summer please come talk to me and we can discuss this option. Please make sure to do this before you leave for the summer.
*****Note: Please make sure to check you club mailboxes in the Clubhouse as well. Many clubs have a lot of external mail building up****
3.0 New Clubhouse Rules
Clubhouse rules have changed due to numerous club members not locking the doors after using the room. In addition, the Clubhouse is also not being properly respected when clubs are having club meetings in the space. The following rules are now in effect:
1) Club meetings are the purpose of the Clubhouse.
2) If you would like to book the Clubhouse for a meeting please speak with Amber. All formal bookings of the Clubhouse must go through the Clubs Coordinator. Dependent of the size of the group two clubs may be asked to share the space.
3) During scheduled club meetings ONLY the club who has booked the room is allowed to use the space.
4) Please check the schedule of club meetings on the white board to see when the Clubhouse is being used. When the Clubhouse is not being used for club meetings than the space can be used for studying/socializing.
5) When you are finished with the Clubhouse please CLEAN up after yourself and club activities. If you move tables and/or chairs please return them to their original location.
6) The Clubhouse will only remain open while Amber is here (normally 9am – 5pm). The Clubhouse will be locked when Amber leaves. If you have booked the space after these hours Amber will let you know how to gain access to the room. Please LOCK the door behind you when you are finished with the space after hours.
4.0 SGM – Winning Clubs
Thank you to everyone who came and participated in the SAMRU Special General Meeting. Congratulations to the following clubs who won the clubs contest!

Your prize money will be deposited directly into your club accounts.
5.0 Summer Communication
I will be around through the summer months and will be available if you need anything at all. In the annual report that you will be handing in you will need to list a club contact that can be reached through email over the summer months. I will keep these club contacts informed of my vacations and when I will be away from the office. If you are making a special trip to see me, please make sure to call ahead so I can guarantee that I will be in my office. My office hours will not be as consistent as they usually are during the school year.
6.0 Congratulations and Good Luck!
I can’t believe how quickly this year went by. I thoroughly enjoyed working with you all and I look forward to working with some of you again next year. For some this is your last year and to you I only wish you the best in wherever your future takes you. Congratulations to everyone on a very successful year. Good luck on your final exams. I will still be working my usual hours during exams if you want to stop by with stuff that you need to wrap up for the year, or any questions you may have about the annual report.
As always – any questions please don’t hesitate to ask! I am here from 9:00 – 5:00 everyday, but am away for lunch from 12 – 1 and for my regular scheduled weekly meetings (these are posted on my door).
